Overflow help for independent agencies

Clear the certificate backlog without adding a hire.

Lexetor is done-for-you certificate-of-insurance issuance for independent commercial agencies. You forward the request, we prepare the ACORD 25 on your paper, and nothing is sent until you approve it.

You approve every certificate · No contract · Cancel anytime

What it is

An on-call certificate desk that runs on your approval

Think of us as overflow capacity for the task that never stops at a commercial agency: issuing certificates of insurance. We do the preparation. You keep the control.

Human-in-the-loop

Nothing leaves your agency without your sign-off

Every certificate we prepare comes back to you first. Approve it in a click, or send it back with a note. You stay the agent of record on all of it.

  • You approve every cert. No certificate is issued until you say yes.
  • A person checks the work. Software speeds the drafting; a human reviews before it reaches you.
  • Full audit trail. See what was requested, what we prepared, and what you approved.

Built for the peak

Made for renewal-season overflow

Certificate requests spike at renewals and project starts. Hand the surge to us and keep your team on the work only they can do — quoting, servicing, and selling.

  • Use us only when slammed. Turn it on for the crunch; pause when it calms down.
  • No new hire to onboard. Get extra hands without the payroll, training, or desk space.
  • Clear the queue, not the calendar. Backlogs get worked down so holders aren't left waiting.

Fits how you work

Works with your forms, your paper, your AMS

No new platform to learn. Forward requests the way you already get them, and we return certificates ready to file and send — formatted to look like they came from your agency, because effectively they did.

  • Your branding. Standard ACORD forms prepared on your agency's letterhead.
  • Email-simple intake. Forward to a shared inbox — no portal to log into.
  • AMS-ready returns. Final certificates come back as clean PDFs to attach in your system.

How it works

Four steps, and your inbox does most of the work

No software to install, no migration. You forward; we prepare; you approve; it goes out.

01

You forward the request

Send us the certificate request and the policy details you already have on file. One email, or a shared inbox we watch.

02

We prepare the ACORD 25

We draft the certificate — additional insureds, waivers, descriptions of operations — on your agency's paper, matched to the policy.

03

You review & approve

Every certificate comes back for a quick check. Approve it, or send it back with a note. Nothing moves without you.

04

It goes out

On your OK, we issue it to the certificate holder — or hand it back for you to send. Your agency, your choice.

Who it's for

Built for the books that drown in certificate requests

Independent commercial agencies of every kind. If certificate requests pile up on any of these books, we'll take the overflow.

Contractor books

GL programs buried in additional-insured and waiver-of-subrogation requests from GCs and project owners.

Trucking & transportation

Motor carriers and logistics accounts where shippers and brokers want proof of coverage right now — often per power unit.

Habitational & real estate

Property managers, HOAs, and landlords who request certificates in waves at lease and renewal time.

Mixed commercial books

A bit of everything — BOPs, retail, services, light manufacturing — each with its own steady stream of certificate requests.

Why we built it this way

Overflow help that respects your license

Three things we kept non-negotiable, because certificates carry real liability.

You stay in control

We prepare; you approve. Your agency remains the agent of record on every certificate we touch — full stop.

No new hire, no new software

Turn it on only when you're slammed. There's nothing to install and no seat to train — just extra capacity.

Built for an E&O-sensitive job

Certificates can create real exposure. That's exactly why a person checks every one and you give the final yes.

“We're a small, focused desk — not a call center. When you work with us, you work directly with the people preparing your certificates, and you sign off on all of it.”

FAQ

The questions agency owners actually ask

Does anything go out without my approval?
No. Every certificate is prepared for your review and waits for your sign-off before it's issued. You stay the agent of record, and you can send any draft back with changes.
Whose letterhead and forms do you use?
Yours. We prepare standard ACORD forms — most often the ACORD 25 — on your agency's paper, so certificates look and read like they came straight from your office.
What does “AI-assisted” actually mean here?
We use software to speed up drafting a certificate from the policy details you already have on file. It is not left to run on its own: a person reviews every certificate, and you give the final approval before anything is issued.
What do you need from me — and what should I not send?
Just the certificate request and the policy information needed to complete the form (limits, dates, endorsements). Please don't send Social Security numbers, full policy contracts, or client financial data — we don't need them, and we'd rather you didn't.
Is this safe for my E&O exposure?
You keep full control and final approval of every certificate. We're overflow preparation support — not a replacement for your licensed judgment, and not the agent of record. You review each certificate against the policy before it's issued. (This isn't legal advice; loop in your E&O carrier or counsel on your own workflow.)
How fast is turnaround?
We agree on a turnaround target with you during the pilot, based on your typical volume and how quickly your holders need certificates. We'd rather set a pace we can keep than promise a number we can't.
Can I cancel?
Yes. The pilot is month-to-month — cancel any month, no penalty and no long-term commitment.
Where does my data go?
We collect only what's needed to prepare your certificates and to reply to you. We don't sell your data. The details are in our Privacy Policy.
